5 Steps of Effective Employee Counseling

 

For most people in the workforce, particularly those working full-time hours, their job is a major part of their life. Where you have elevated levels of job satisfaction, many other aspects of your life will also be satisfying.

But when something at work is affecting your love for the job, you tend to take your troubles home with you. This can hurt other aspects of your life.

Fortunately, many employers provide access to counseling assistance for employees who can choose to seek formal assistance to help them with any issues in their life. 

These could be problems at work, and this counseling can address how and why the problems are affecting you. The employee can examine ways to raise the issue with their employer. This differs from something like a workplace injury where you might immediately seek legal support.

Then again, the problems may be due to issues outside the workplace. These could be personal relationship problems, and if ignored, it is likely to affect their workplace performance at some point.

Good employers make counseling services available to their employees, promote the service, and make it easy for them to access the service in confidence. Where they see employees underperforming. or become concerned over the well-being of an employee, they may even recommend the service to that individual.

Here are five steps an employer can take when they become concerned about the performance and well-being of an employee.

1. Be Proactive

Approach the employee and inform them about your concerns. Set up a private meeting to discuss their performance issues in detail. Allow them to bring along a support person if they wish. 

Make it clear that this is not a disciplinary matter, and the purpose of the meeting is to find ways to address and overcome the concerns.

During the meeting, explain all the concerns while providing as many details as possible. Be friendly and approachable and make it clear you want a positive outcome.

Ask them how they feel about your concerns and find out if they have some personal troubles at work or elsewhere. Offer them counseling and work out exactly what can be done to solve the issues at hand.

2. What Type of Counseling is Suitable

There are three to choose from: 

  • Directive – the counselor sets up the course of action on what should be done. They supply reassurance and serve as a motivator.
  • Non-directive – the employee expresses their feelings to uncover what is troubling them and to find their solution. The Counselor supports and supplies encouragement.
  • Participative counseling – this is a preferred middle ground most often used. Counselor and employee work together to solve the problem.

3. Rely on Innovations in the HR Sector

When workplace burnout is proven as the issue, the HR department can use artificial intelligence to collect data relating to the employee’s typical work patterns to recommend a vacation period. AI psychologists may be a workable choice to guide employees towards workplace improvements.

4. Give Employees Useful Feedback

Some employees need regular feedback to understand how they are performing. If this is lacking, they might assume they don’t need to work so hard or lose motivation because they don’t feel valued.

Regular performance reviews and praise is given when it is deserved can overcome this issue. Let employees know they can always approach their manager with any problem they might be having.

Always be specific about what improvements they can make, and what they are doing well.

5. Always follow-up

After the counseling period is completed, pay close attention to that employee and if performance is better than before.

After some time (but not too long), call them in for another meeting to review their performance since counseling and let them know what improvements you have seen. Ask them if they are still bothered by any issues. 

The costs of finding and training a new employee are always incredibly high. Retaining an existing employee, even if they are underperforming, is almost always a better option than termination and going through the process of finding a new employee.
